How to prepare your institution, the implementation and data migration phases, hosting options, training and support.

Learning new software always takes time and effort, and there is no shortcut. Like any good relationship, implementing myschool is a journey made together by the system and your institution. myschool has hundreds of features, and even though it is easy to use, it needs time to understand your institution’s processes and data before it can give you the solution you are looking for. Please take the time to read these first articles to get a full picture of how myschool will serve your institution.

Preparing your institution

  • The first important task is to assign a key person or a team to learn the system. In our experience, schools that dedicate a team to learning myschool are the most successful.
  • Request a demo version through our contact page and let teachers and administrators get familiar with the system before going live.

Implementation process

myschool is a comprehensive school ERP that lets institutions manage their academic and administrative operations digitally. Because it has many modules and workflows, implementation is carried out in structured phases to ensure smooth adoption.

Implementation usually takes a few weeks, depending on your requirements, existing processes and the amount of data to migrate.

Data entry and migration

One of the most important phases is data entry and migration. You may already have student, employee, fee, attendance and exam data in Excel sheets, older software or paper records. For a successful implementation, gather and organise this data so it can be entered or imported efficiently.

myschool supports:

  • Manual data entry
  • Bulk import through CSV and Custom Import
  • Migration of institutional records in supported formats

Dashboards and user access

myschool provides several dashboards and role-based access for:

  • Super admins
  • Administrators
  • Teachers
  • Students
  • Parents
  • HR and finance teams

Users with higher administrative access also use the myschool Accounts Panel, while teachers, students and parents mainly use the school dashboard and the mobile app.

Hosting options

myschool can run in two ways:

  • Cloud hosted: runs on myschool servers, managed and updated by our team.
  • Self hosted: runs on your institution’s own servers.

Each option has its own implementation approach and setup requirements.

Workflow understanding and training

During implementation, we encourage institutions to understand the workflow for each role (teachers, students, parents and administrators) to ensure smooth onboarding. Many schools also give staff short handouts or training material.

Third-party integrations

myschool can connect with services your institution already uses, including:

  • SMS gateways
  • Email services
  • Biometric devices
  • Payment gateways
  • Mobile notifications

Most of these are configured through the myschool Accounts Panel.

Training and support

During the agreed implementation and training period, the myschool team provides:

  • Implementation assistance
  • Training sessions for the required modules
  • Query handling and workflow guidance
  • Support with initial setup and day-to-day understanding

Once implementation is complete, your institution is handed over to our Customer Support team for ongoing assistance, reachable through the support channels at the bottom of this page.

This structured process ensures a smooth start, operational continuity and long-term support.
