QuickBooks integration with myschool
How to connect the system with QuickBooks to sync scheduled and collected fees automatically.
The QuickBooks integration brings user-level fee reporting (scheduled and collected) from myschool into QuickBooks. “Users” here means students and employees: their scheduled fees in myschool appear as invoices in QuickBooks, and payments against them are tracked there, including employees’ transport fee collections.
Requirements
- Your institution has an active QuickBooks account.
- The myschool team enables the QuickBooks plugin from the accounts panel.
Once enabled, complete the configuration inside the system.
Setup steps
- Go to Administration → QuickBooks Sync and click Authorization to manage the settings.
- Fill in the initial configuration fields shown below.

- Click Auto Sync records and then Sync to update the existing data.

- Students or employees admitted in myschool appear in QuickBooks as customers.
- A fee collection created for a student (transport or any other fee) is recorded as an invoice.
- Adding a discount to an existing fee collection records a credit note after syncing.
- When a fee is paid, the invoice is updated with the paid amount. Partial payments and pay-all payments are supported.
- Every transaction syncs automatically — for example when students join mid-year, fee collections are created or payments are made.
Note: To set up the integration, create a QuickBooks account (or a sandbox account if needed) and share the required integration details with the myschool team. Any restrictions or approvals on the QuickBooks account itself are handled by QuickBooks support.
