Inventory workflow
The recommended order for setting up and using the Inventory module, from store categories to reports.
Follow this order when setting up and using the Inventory module. Each step links to its detailed guide.

1. Set up the basics
- Create store categories to group your stores – see How to create a store category.
- Create store types, such as Stationery, Sports or Canteen – see How to create a store type.
- Create item categories for sellable items – see How to create an item category.
- Add items to the store, with quantity, unit price and tax – see How to add items to a store.
2. Set up suppliers
- Create supplier types – see How to create a supplier type.
- Add suppliers – see How to add a supplier.
3. Request and issue items
- An employee raises an indent for the items they need – see How to raise an indent.
- The employee’s manager approves (issues) or rejects the indent – see How to approve or reject an indent request.
4. Purchase items that are not in stock
- Create a purchase order against the indent – see How to create a purchase order.
- Issue or reject the purchase order – see How to issue or reject a purchase order.
- When the items are delivered, record a Goods Received Note (GRN). The pending quantity is then issued to the employee automatically.
5. Sell items and review reports
- Create sales invoices for items sold – see How to create a sales invoice.
- Generate reports on indents, purchase orders and GRNs – see How to generate an inventory report – and on sales – see How to generate sales reports.
Note: For a visual summary of the purchase process, see Inventory purchase flow diagram.
